| Vickie Burch called the meeting to order at 7:10 p.m. REPORTS Secretary’s Report – The minutes from the January meeting were posted on the website. A motion was made, seconded and approved to accept the Secretary’s Report. Treasurer’s Report – Jackie Cooper presented the financial report for Income and Expenses for the month and year to date. Income was from splitting money in the Joint Account with Lincoln Way Central’s Music Boosters (includes SIAM, Fall Fest Brat Booth, Home Field Show, and interest from account), Fiesta Bowl payments, spirit wear, late band camp fees, and interest from the general account. Expenses include Madrigal clinician, Band clinician, Cupid Raffle ticket printing, and Wreath Sale. The general fund is in good shape after the split of joint income with Lincoln Way Central and Jackie does not anticipate many more expenses before the end of the year except pre-paying next season’s fees and we have already prepaid for next year’s band camp. Treasurer Elect – Mike Albert reports that the IBA’s are up to date as of February 4. He is still accepting payments for Band Camp and the Fiesta Bowl. A motion was made, seconded and approved to accept the Treasurer’s Report. Communications – Val McGraw had no new issues to report. Mr. Smith announced that the February newsletter will combined with the March events for a February/March newsletter. Ways and Means – Mark Kane and Nancy Stachura reported on the following fundraisers. FUNDRAISERS Market Day – Market Day is ongoing. Jean still needs a parent to volunteer to be at the school around 4 p.m. when the order is delivered. Cupid Raffle – Kris and Anne Lindley successfully ran the Cupid Raffle. This fund raiser made a profit of $1000 and the Lindleys are calling the winners each day to inform them that they have won. The profit is smaller than last year due to lower ticket sales and larger payout due to the structure of raffle guaranteed a winner everyday. A question was raised by the membership why the winners were not posted. The board decided not to post the names because it would be an invasion of winner’s privacy. The winning ticket numbers are available to interested parties. SIAM – SIAM cards are still for sale at area merchants. American Cancer Society Walk – The Relay for Life will be held the 2nd weekend in June. Vickie Burch will co-chair this event and is looking for a volunteer to be the other co-chair. Lisa Drenner has already agreed to be in charge of food concessions. Flower Sale – This is an IBA fundraiser. The forms will be going out this week. The order forms will be due back on March 4th. The pick up will be on May 6th. The chairperson is asking for volunteers to help on the pick up day. The flowers/vegetables are a high quality product and we are using the same vendor. OLD BUSINESS Constitution Review – The Constitution bylaws require that it be reviewed every 2 years. A 4 person committee has begun the review. They will present their recommendations to the Executive Board on March 1st and to the General Meeting on March 9th. Changes to the Constitution will voted on on April 12th. Fiscal Reengineering – Steve Therriault is chairing this review. He explained that his committee in investigating how to support the Booster organization to best utilize energy and resources by looking at how similar organizations work. NEW BUSINESS DCI – The Music Boosters have sponsored the DCI exhibition for 3 years. The Board has voted to not sponsor this event this year for multiple reasons. Any profit would be contingent on weather, it has been difficult to find housing for all the corps, there is large demand for volunteer work hours and as it is our turn to host the Home Field Show this year, we need to ensure we have sufficient help, the profit was not proportional to the work output compared to other fundraisers, and there was a scheduling conflict for the corps that would eliminate the best performers from appearing this year. Nominating Committee – Vickie thanked the many people who expressed an interest in helping to form next year’s Executive Board. The Nominating Committee will consist of 2 member-at-large and 3 board members. The members at large will be Gail Gray and Marcia Montet. The Nominating Committee will be meeting this month to develop a slate of candidates to be presented at next month’s general meeting. Executive Board – Positions to be filled are President Elect, Treasurer Elect, Ways and Means Elect which are all 2 year terms. Communications and Secretary are 1 year terms. Nominations will be presented in March. Band Camp – Steve is looking for 7 more people to volunteer to be chaperones, 13 parents are returning from last year. He would prefer to have incoming freshman or sophomore parents for the available slots. Band Camp will be July 31 to August 6. Mentoring Program – Beth Kane will be organizing the Mentoring Program for next year’s incoming freshman and their families. She is looking for this year’s freshman, sophomore and junior parents to sign up to be mentors. They are setting a goal of 100 parents/mentors so that there is ideally a 1:1 ratio of new and experienced parents. Beth will be looking for parents to sign up at the February and March Booster meetings. Beth is also looking for a parent to co-chair a mentoring program for the Choir Program. STAFF COMMENTS Mr. Smith began his portion of the meeting by thanking the booster membership for financially providing our students with the opportunity to have seminars by professional musicians, clinicians, and leadership training. The Open House for incoming freshman will be on Thursday, February 10th. They are anticipating an incoming freshman class of about 1000. At the sophomore, junior, and senior levels there are already146 in band, 108 in choir, 147 in guitar, and 123 in piano signed up for next year. The Jazz band will be going to Rolling Meadows at 8 a.m. on Saturday for a competition and to see the Gordon Goodwin Phat Band. There are 20 students going to the SICA Conference Band Festival on Thursday. The Summer Marching Band Schedule will be available by Thursday. The Summer Marching Band will start on June 13 for freshman and June 14th for returning band members. The Code of Conduct policy will change next year. Instead of parents and students required to attend one Code of Conduct a year, policy has changed to requiring attendance at one Code of Conduct for each student’s whole high school career. The Solo/Ensemble Contest will be on March 5 in Seneca. There will be a rolling bus schedule. More details to be announced as available. The Marching Band will be performing at ISU next year, and since the dates coincide with U of I, they will not be performing in Champaign. The Marching Band will not be performing at the State Fair because it will not coincide with Band Camp and because there were concerns for student’s safety last year. The staff feels the student’s safety takes precedent over all other considerations. Artworks may be a smaller event this year as the date coincides with the IGSMA competition and the area junior high schools will be involved in that activity. The Concert Choir is scheduled to assist with Market Day on March 2. Lou Ann McKernin is looking for assistance with sorting and putting band uniforms away on February 24, from 5-9 p.m. If you can help, come to the basement on that day.
