June 8, 2004 Minutes


Vickie Burch called the meeting to order at 7:08 p.m. 
 
REPORTS
 
Secretary-The minutes from the May meeting were posted on the website.  A motion was made, seconded and approved to accept the minutes as posted.
 
Treasurer Report- Jackie Cooper presented the monthly budget for May 2004 and the Account Balance as of June 8th, 2004.  There is $57,895.65 in the General Fund, $27,868.20 in the IBA fund, and $8,058.16 in the Scholarship Fund.  Mike Albert, the Treasurer-Elect is in charge of the IBA’s (individual bank accounts).  There are some fundraisers through the year that are designated for IBA.  The child’s profit is deposited in their account and can be used for most music related items or fees.  A motion was made, seconded and approved to accept the Treasurer’s Report.
 
Communications- Valerie McGraw reported that she will rely on the old phone tree to communicate to booster members until the new school year starts.  She has a sign up sheet for next year started.  Volunteers would need to make calls once a month  and she would like to encourage freshman and sophomore parents to participate.  Any freshman parents who would like to be on the phone tree should contact Valerie via email VMcGraw@comcast.net  or phone 815-469-2414.
 
Ways & Means-Mark Kane was unable to attend meeting, but Vickie Burch discussed the fundraisers listed below.
 
 
FUNDRAISERS
 
Market Day-Students are asked to help at one Market Day each year.  Different sections are assigned monthly.  Market Day is usually held the 1st or 2nd week of the month.
 
Car Wash-Scheduled for June 26th.  It is mandatory for all marching students.  If you haven’t gotten packet or need more tickets, contact Joanne or Carl Bergman, their email address is CJBERG80@aol.com, or you can call at (708) 479-2363.  She still needs help at Mokena Elementary in the morning and afternoon.  If you have extra towels or hoses, please bring them, but put your name on them and take them home with you when you leave.
 
DCI Show-Scheduled for June 29th.  This is our 3rd year hosting this show.  Michele Schmidt is looking for more volunteers, her email address is nirsrose@aol.com, or call her at (815) 464-0711.  She especially needs help the day of the show.  Admission is $15.00 for front bleachers, but students can purchase tickets to the back bleachers for $5.00.  There  will be a clinic for the students prior to the show.
 
Fall Fest-Booth rehab scheduled for June 19th.  Dee and Larry Block are asking for volunteers to be at the school at 8 a.m. prior to the Code of Conduct meeting at 10 a.m..
 
Car Raffle- Car is raffled off at Homecoming Game.  It is going to be a Griffin Blue color this year.  The board has decided to lower the raffle ticket price to $10.00, but there will be more tickets sold.  The tickets will be mailed to music student’s parents.
 
Relay for Life Cancer Walk- Scheduled for June 11-12th, from 5 p.m. to 6 a.m.  The boosters will run the concession stand in conjunction with Lincoln-Way Central’s boosters.  Profits are shared with the American Cancer Society.
 
SIAM-Supporters In Area Music.  This fundraiser is done in conjunction with Lincoln-Way Central’s Music Boosters.  About half the funds for the budget come from this fundraiser.  They are looking for volunteers to solicit businesses for the SIAM card, parents to advertise the SIAM at local parades, and drivers for the kids to sell the card.  They will be trying to assign kids to drivers ahead of time this year to make it more orderly.  They would also like to recruit more choir parents.
 
OLD BUSINESS
 
Budget for 2004-2005 presented.  A motion was made, seconded and approved to accept the 2004-2005 budget.
 
NEW BUSINESS

Code of Conduct-Scheduled for June 19th at 10 a.m. in the auditorium.
 
Band Camp-There will be a meeting on August 3rd for all students and parents for band camp information..  The band camp fee is $250 (two $125 payments).  Important dates for band camp:
June 29-1st payment installment due
July 1-Medical forms due
August 3-Mandatory meeting for students and parents, 2nd payment due
August 7-Load luggage
August 8-Depart for Band Camp
August 12-March/Perform at Illinois State Fair
August 14-Return home.  Plans are for luggage truck to return 30 minutes before kids
 
Mentoring Program-Volunteers needed.  Each parent would be responsible for a group of Freshman parents to meet with them and be their contact person for questions and to guide them through their first year of marching band.
 
Newsletter-The newsletter was done previously by a student, but he graduated this year and we are now looking for a parent to take this over.
 
Griffin Music Spirit Wear-This has been requested especially by the students for Spirit Wear with the Music logo.  There is something similar at Lincoln-Way Central and we would like to start it here, keeping prices low.  This would require a committee, and we are looking for volunteers.

Freezer cleaning- Mr. Burch is looking for a few good men to get together to clean the freezers in the dock are before the DCI Show.
 
Marching Griffin T-shirts/sweatshirts-These are shirts that many wear to competitions or have as a memento of the season.  Everyone is invited to submit artwork for the T-shirt with this year’s show theme.  Then the entries are judged and voted on.  We are looking for a volunteer to chair this.  It was suggested to add hoodies to choices.
 
Summer Shirt/Shoes-Lou Ann McKernin is in charge of uniforms and she offered her phone number 815-464-6122 if any marcher needs anything.  The summer shirt and  shoes will be distributed on June 19th.  Any returning member that ordered a new small or medium summer shirt is asked to wait until re-order comes in to ensure that all the freshman received a shirt first.  Mrs. McKernin is looking for help on:
July 22-hat  maintenance
July 26/27- from 9 a.m. to 2 p.m. to match kid’s measurements to uniforms in stock.
July 28/29-appointments through out the day to fit kids with their uniform.
She is also looking for volunteers for the uniform committee.  You do not have to be able to sew to help, she also needs people to iron, cut and pin.
 
STAFF COMMENTS

 

  • 69 parents and students from choir are leaving June 11th for a trip to the Bahamas and Disney World
  • Working on posting up to date IBA list via student ID number
  • Extra Fiesta Bowl forms available
  • Chaperone volunteers for the Fiesta bowl trip will be contacted this week
  • Updated band schedule shows the Marching Griffins will be stopping in Momence to march in parade on the way home from Band Camp on August 14th.
  • Color Guard rehearsals start next week
  • Code of Conduct is June 19th for marching band only
  • Director needs medical forms as soon as possible.  Let Mr. Johnson know if you are having trouble getting doctor’s appointment.  Do not turn in original of medical exam-he wants a copy.  The school nurse gets the original.
