GENERAL MEETING - TUESDAY
NOVEMBER 16, 2004 Minutes

Vickie Burch called the meeting to order at 7:09 p.m.
 
REPORTS
 
Secretary’s Report – The minutes from the October meeting were posted on the website.  A motion was made, seconded and approved to accept the minutes as posted.
 
Treasurer’s Report – Jackie Cooper presented the financial report for Income and Expenses for the month and year to date.  Income was received from Cookie Dough Sales, Market Day, Spirit Wear Sales, Color Guard Uniform fees, Fiesta Bowl payments, and Relay for Life.  (The Relay for Life income was our organization’s 1/3 share of profit from concession stand sales.  This was not a budgeted fundraiser and the committee and general membership voted to donate this back to the American Cancer Society). Expenses included a clinician for the choral program, cookie dough expenses, spirit wear, and clinician fees now that the season is over.  She also reported on account balances as of October 31, 2004.  The account balances are on target, except for the general fund is high but this includes money to be paid out soon for a Fiesta Bowl payment. 
Mark Albert reported that credit card payment forms are available outside of the music department office.  The forms are not available online.  His IBA account balances are accurate as of November 9, 2004.
A motion was made, seconded and approved to accept the Treasurer’s Report.
 
Communications – Val McGraw reported that the phone tree is running well.  She requests that any information to be relayed by the phone tree be given to her by the first Tuesday of the month.  Also, she has all the nametags that have been ordered ready for pickup.
Val is also looking for a new chairman for the Fan Club next year.  She also asks for any fan club decorations to be turned back in to use for decorations at the Marching Band Banquet after the Fiesta Bowl.
 
Ways and Means – Mark Kane and Nancy Stachura reported on the following fundraisers.
 
FUNDRAISERS
 
Market Day – Market Income this month was $592.
 
Wreath Sale – Wreaths come in tomorrow.  Help is needed to unload the wreaths on Wednesday and to distribute on Friday and Saturday. 
 
Cookie Dough – The Cookie Dough Fundraiser was chaired by Kathy Laphen and Robyn Madden. Mark thanked both for running this fundraiser and reported that $7300 went into IBA accounts form this fundraiser.
Quizno’s – This shop and share fundraiser will take place on November 27 & 28.  Coupons were handed out in the Sounds of the Stadium program.  There will also be coupons available at Quizno's.  10% of all sales with coupon will be given to the Music Boosters Organization.
 
New Fundraising Ideas – The Cash for Cupid Raffle will be held in February.  $100 will be awarded daily, $200 on Saturdays and $300 on Valentine’s Day.  A chairperson is being sought for this fundraiser; please contact Nancy Stachura if interested.
 
SIAM – Money is still being received from purchase of cards at area businesses.
 
Spiritwear – Orders need to be turned in by November 19th to be available for Christmas.
 
OLD BUSINESS
 
Tailgate at ISU
– There will be a wrap up meeting by the committee this week.  They will be taking all comments received by attendees into consideration.
 
Field Show – The Davids would like to thank all the volunteers for their help making this a successful event, especially Marty and Val McGraw, Larry and Dee Block, Michelle Schmidt, Lisa Drenner, and Carl Bergman.  People from other schools have been emailing us with positive comments about the show.  Initial income reports are around $28,000, which is double the income from last year.
 
Sounds of the Stadium – This show went very well.
 
NEW BUSINESS
 
Fiesta Bow
l – You can access information online.
 
Madrigals – 3 of the shows are sold out.  There are still 3 tables available for the matinee performance at noon on Saturday, December 11.  Tickets are $20.00.
 
Marching Band Uniforms – Please be aware that when the uniforms are collected to go home from the Fiesta Bowl the students will not be getting them back.  So if you want a picture of your child in their uniform, take it before the end of the Fiesta Bowl trip.  There is a possibility there will be an opportunity to take individual pictures.  Mr. Smith will distribute information if that is going to be done.
 
STAFF COMMENTS
 
Mr. Stark provided staff comments as Mr. Smith is out of town today.
Mr. Stark wished to relay a thank you on behalf of the administration for all the music boosters contribute.
He complimented Rose Katsenas and Lou Ann McKernin for their work on the Madrigal costumes and the performance.  Lincoln Way School District has been having Madrigal Dinners for 35 years and it is more impressive that the quality was still high even after the schools split.
The Illinois Philharmonic Orchestra is performing at Lincoln Way East Auditorium on December 19th at 3 p.m. and tickets are available through the box office at 708-481-7774.
 
A motion was made, seconded and approved to adjourn the meeting at 7:45 p.m.
