GENERAL MEETING MINUTES

President Tom Blakley called the meeting to order at 7:08 p.m. He welcomed everyone to the meeting and thanked them for attending. He asked first-time attendees to stand and introduce themselves. He thanked the past Board for their hard work and longs hours devoted to the Boosters.

Secretary’s Report:
The minutes were on line for review. There were no changes or corrections. Ann Lindley moved to accept the report and Terri Schuh seconded.

Treasurer’s Reports:
Mike Kaczmarski reported that the May 2006 reports were available for review. He briefly explained the Cash Flow Summary noting the effects from last year. He outlined the Income Statement and noted some activity from Staff from last year. There were some clinician and jazz band charges as well as final charges for the banquet. Don Stachura made the motion to accept the report; Dave Drenner seconded. Motion carried.

Communications Report:
Joyce Eriks asked that everyone sign up for e-mail updates. Name tags can be ordered for $6. There was a sign up for phone tree volunteers. The newsletter was sent out and many people received them today.

Ways and Means Report:

Tom McKay reported that he has taken over. There was nothing to report today.

Old Business:


2006/2007 Budget
Mike Kaczmarski reported that the new budget was available for review, with no changes from last meeting. A question was asked why there would be income from Band Camp this year when it is usually a loss. It was explained that fees were increased this year; although it is not a fund raiser. The fees were raised to cover the instructor costs as well as other miscellaneous expenses. The costs paid from this will cover Marching Griffin expenses only. In the past, the Boosters supplemented Band Camp fees, but since fund raising has been dropping, this is no longer possible. A question was asked why the Cupid Drawing is projected to make so much more than previous years. This is because it will be a heavily promoted fund raiser for Marching Griffins since the majority of expenses in this budget are for Marching Griffins. Mike Albert explained that this is an easy fund raiser with very low overhead so it will be pushed this year. Everyone in the Music Department will be asked to participate, but it will be highly promoted for Marching Griffins. It was asked if there are any provisions to keep the budget balanced this year. Tom Blakley said it will be watched closely this year, and there are several new fund raisers that have no income projections in this year’s budget. Lisa Drenner made the motion to accept the report, Debbie Blakley seconded. Motion carried.

Ways and Means-Elect:
Tom Blakley reported that the resignation of the Ways and Means Chairman was accepted, so a new person is needed to work with Tom McKay this year on fund raisers. Anyone interested should see a board member to discuss.

Relay for Life, June 9, 2006

Nancy Stachura reported that the Relay for Life was very successful. She thanked everyone who helped. Half the funds raised will be kept, the remainder will be sent to the American Cancer Association, as has been done in the past.

Current Business:

Band Camp
Linda Therriault reported that Band Camp is from July 30-August 5th, and the Band Camp Meeting is on July 25th. Additionally, there is information available on the website at www.lwemusic.org. Physical forms are due by June 15th. Copies of the parent’s insurance cards are necessary, which can be turned in at luggage drop-off.

Car Wash
Tom McKay reported that the car wash will be held this Saturday. More parent volunteers are needed for the afternoon shift. Band students have already signed up; lists will be posted in the band room on Wednesday. All money collected (one check only) must be turned in when the kids check in on Saturday.

SIAM

Dave Drenner is working with Tom McKay this year for SIAM. They have plenty of parent volunteers. This year, pre-registration letters were sent out to the businesses, and several have been received already.

Garage Sale
Lisa Drenner gave an update. The sale will be August 12th in the west lot. The sale will run from 8 am until 2 pm. Any band parent who wants a table will be charged $15 and all profits will go into their child’s IBA. Set-up will begin at 6 am. Concessions will be available. All advertising will be done by the Boosters. Donations from the public will be accepted; profits from donated items will go into the general Booster fund. A truck will be available to accept donations during the week prior to the sale. A list of acceptable donation items will be available at the next meeting. Any remaining items will be picked up by the Salvation Army. Service hours will be available for students who want to help.

5K Run
Mr. Smith will report on this later.

Chaperones
Marcia Montet and Debbie Blakley are co-chairing Chaperones this year. They are available to talk to anyone who is interested in chaperoning, but doesn’t know what is involved. Pit crew members are needed to help get props on and off the field during the field shows.

New Business:

Booster Membership
Tom Blakley and Cindy Heath will be manning a table during student registration to accept Booster registrations. They need additional volunteers for August 9, 10, 15 and 16, both morning and afternoon shifts.

Fall Festival
Don Stachura and Tom Schonhoffen will be chairing the Fall Festival fund raiser during Labor Day Weekend. A bratwurst stand is run jointly by the Central and East Music Boosters. He outlined all the work necessary for this fund raiser as well as the volunteers that are needed. If the work is shared 50/50, the profits are shared 50/50 between East and Central. Anyone interested should email Tom Blakley.

Uniforms
Ann Lindley reported that all band shirts and shoes have been ordered. They will need additional volunteers to help with pick-up of these items and measuring of all MGs for their uniforms after the Mandatory Parent meeting on June 22nd. Uniforms will be distributed on Monday, August 7th.

Phone Tree
Joyce Eriks reported that the phone tree takes only about 20 minutes each month. Information for the phone tree or newsletter can be emailed to Joyce.

Field Show Shirts

The Field Show Shirt contest rules will be distributed once the theme is received from the Directors. Mary Ellen Pifko will be coordinating this as well as Spirit Wear.

Staff Comments:
Mr. Johnson is in Hawaii, and Mr. Smith sent in some notes, which Tom Blakley read. Mr. Smith is thinking of moving the 5K run to the spring so the kids are able to condition more. He is researching with the Chicago Area Runners Association to certify the route and market it to their members. Students will be able to raise funds for their IBAs. Mr. Johnson reports the performances are going well in Hawaii. The Summer Jazz Ensemble is going well; this is sponsored by the Music Boosters. They perform locally, including the Frankfort Farmer’s Market. Color Guard Camp went well last week; the Guard looks great. The new wind players in the Marching Griffins had a mini camp last week, and early rehearsals went very well. The drum line started rehearsing today. The required Code of Conduct meeting is next Thursday for first-year students, followed by the mandatory meeting for all parents. The returning Marching Griffins will be performing in the Peotone Parade next Saturday, June 24th. The parade starts at 1:00. The second travel payment is due next Thursday.

Mike Albert asked about the band performing in two parades on July 4th. Mr. Smith reported that this has changed; they will only perform in Mokena that morning.
